Is Your Small Business Technology Ready for the Next Problem?
IT Assessments, Computer & Network Services, Cybersecurity & Business Technology | JIT Systems, LLC
When was the last time you actually looked at your entire business technology environment? Not just whether the computers turn on, but whether your systems are secure, your backups are working, your network is appropriate, and your technology is ready for what comes next.
Many small businesses operate with technology that has grown over time.
A computer gets replaced. Another employee is hired. A new cloud application is added. The wireless network is upgraded. Someone creates another account. A backup solution is installed. A printer is replaced.
Individually, none of these things seem unusual.
But over the years, they can create an IT environment that is much more complicated than the business owner realizes.
The problem is that technology problems rarely announce themselves ahead of time.
A computer can fail. A hard drive can stop working. An employee can click a phishing link. A password can be stolen. A network device can fail. A backup can silently stop working.
The goal is not to predict every possible problem.
The goal is to understand your environment well enough to identify weaknesses before they become expensive or disruptive.
Start With an IT Assessment
An IT assessment is a structured look at your business technology environment.
It can help identify computers, networking equipment, software, accounts, cloud services, cybersecurity controls, backups and other technology that your business depends on.
More importantly, it can help identify areas that may deserve attention.
You do not necessarily need to replace everything.
In many cases, the first step is simply understanding what you already have.

What Should a Small Business Review?
Every business is different, but there are several areas that deserve attention when reviewing a business technology environment.
1. Computers and Workstations
Business computers are often taken for granted once they are working.
However, age, performance, operating system support, storage, memory, security software and hardware condition can all affect reliability and security.
- Are your computers becoming difficult to maintain?
- Are operating systems still supported?
- Are employees experiencing recurring slowdowns or crashes?
- Are important applications properly maintained?
- Are the computers protected against common threats?
If computers are becoming unreliable, it may be time to determine whether repair, maintenance or replacement makes the most sense.
See our article on computer repair or replacement for additional information.
2. Network Infrastructure
Your business network connects computers, phones, printers, cloud services and other devices.
A network that works today is not necessarily a network that is properly configured, secure or capable of supporting future growth.
- Are internet or Wi-Fi problems becoming common?
- Is your network equipment aging?
- Is wireless coverage adequate?
- Are routers, switches and access points properly configured?
- Are appropriate network security controls being used?
If your employees regularly complain that the internet is slow or unreliable, the problem may be more complicated than simply calling your internet provider.

3. Cybersecurity
Cybersecurity should be treated as part of the overall technology environment, not as a single program installed on each computer.
Security involves multiple layers, including accounts, passwords, updates, endpoint protection, email security, access controls, network configuration, employee awareness and backups.
- Are important accounts protected?
- Are computers receiving security updates?
- Is endpoint protection in place?
- Are email accounts adequately protected?
- Are employees aware of common phishing threats?
- Are unnecessary administrative privileges present?
- Does your business have a reasonable recovery plan?
How Does Your Business Measure Up?
JIT Systems also provides a cybersecurity questionnaire designed to help businesses think through important areas of their security environment.
It only takes about 20 seconds to register. Go to the questionnaire, click the blue Register button, sign up, and get access free.

4. Business Email
Email remains one of the most important communication tools for many businesses and one of the most frequently targeted.
Phishing, stolen credentials, spoofing and malicious attachments can create serious problems when email accounts are not adequately protected.
Businesses should understand how their email is protected and whether appropriate authentication and security controls are configured.

5. Backups and Data Recovery
Having a backup is not the same thing as having a reliable recovery strategy.
A business should understand what information is being backed up, how frequently backups occur, where backup copies are stored and whether important information can actually be restored.
- What business data is critical?
- How frequently is it backed up?
- Are backup jobs monitored?
- Are multiple copies maintained?
- Are backup credentials protected?
- Has recovery actually been considered or tested?

6. Software and Cloud Applications
Small businesses often rely on far more software than they realize.
Accounting systems, Microsoft 365, customer management systems, cloud storage, remote access, document management, security software and industry-specific applications may all be essential to daily operations.
Review which applications are being used, who has access, whether licenses are current and whether important business functions depend on a single computer or account.
7. User Accounts and Access
Employees come and go. Roles change. Responsibilities change.
Businesses should periodically review who has access to important systems and whether that access is still appropriate.
8. Aging Hardware and Replacement Planning
Technology eventually reaches the point where continued use may no longer make financial or operational sense.
This can include computers, servers, routers, switches, printers, storage devices and wireless equipment.
The objective is not to replace equipment simply because it is old.
Instead, businesses should understand which equipment is approaching the end of its useful life and plan accordingly.

9. Documentation
Documentation is one of the least exciting parts of IT — and one of the easiest things to overlook.
But if nobody knows what equipment is installed, which services the business uses, how the network is configured or what systems are critical, solving a problem can become much more difficult.
Good documentation can make technology changes, troubleshooting, employee changes and emergency recovery easier.
Finding a Problem Does Not Automatically Mean Replacing Everything
Discovering an older computer does not necessarily mean it must be replaced tomorrow. Finding older network equipment does not automatically mean the entire network needs to be rebuilt.
The value of an assessment is understanding the condition of the environment and determining what actually deserves attention.
Not Every IT Problem Has the Same Priority
A practical technology review should help separate urgent problems from issues that can be planned for later.
High Priority: Problems that could create significant security, data-loss, operational or business-continuity concerns.
Medium Priority: Issues that should be addressed or planned for but may not require immediate action.
Planning / Improvement: Upgrades, documentation, optimization and other improvements that can be scheduled as part of normal business planning.
When Should a Business Review Its IT?
There is no single schedule that works for every business.
However, an IT review can be particularly useful when a business is growing, adding employees, moving offices, replacing equipment, changing IT providers, experiencing recurring technology problems or realizing that its technology environment has not been reviewed in a long time.
It can also make sense after a significant technology change, acquisition, security incident or major business transition.
Already Have an IT Provider?
That does not necessarily mean an assessment is unnecessary. A periodic review can provide a clearer picture of your technology environment, help document what you have and identify areas that may deserve attention or future planning.
